How to create a point of sale system for a restaurant volunteer organization.

Hi everyone! As volunteers in our small club, we've opened a pizzeria. The club is divided into two floors. On the ground floor, there is the bar with the cash register, which currently consists of an ANDROID TABLET and the SUMUP POS. On the first floor, there's the pizzeria. Today, we use simple paper sheets for orders in the pizzeria that we give to the customers, who then go downstairs to pay where we process the bill on the Android tablet. We've discovered Loyverse, and it seems truly fantastic. Therefore, we need some help structuring our point of sale system.

This is the configuration we would like. Could you help us understand which hardware to buy to make everything work?

1) At the ground Floor we have a TABLET ANDROID and SUMUP AIR for the card payment. We would like to buy a cash drawer that opens each time we make a sale and a printer that prints non-fiscal receipts. Could you suggest hardware that is compatible with the LOYVERSE/ANDROID/SUMUP app?

2) From this point of sale, if they call us, we would like to print the take-out pizza reservations. Is it possible to put the receipt order on hold and print it with the order?

3) On the pizzeria floor, we would like to place orders using the LOYVERSE app so that they go to a tablet in the kitchen, or print a ticket. Is it possible to use both functions?

4) Once the table is completed, we would like the customers to pay on the ground floor. Is it possible to keep the order open and send the customers downstairs to pay the bill?

5) Once the table is completed, we would like the customers to pay on the ground floor. Is it possible to keep the order open and send the customers downstairs to pay the bill?

Thank you very much for your help. Please indicate the hardware you think is sufficient and economical. Have a good day."

Complete Guide to Setting Up the Cash Register System with Loyverse

1. Required Equipment

Make sure you have everything needed before starting the configuration.

Hardware for Ground Floor:

Tablet: An Android or iOS device for processing payments.

Thermal Printer: Qian 80mm Bluetooth.

Cash Drawer: POS VALLEY or similar with RJ11 port.

Hardware for Pizzeria Floor:

Tablet: Another Android or iOS device for waitstaff.

Thermal Printer: You can use another Qian 80mm or the same printer if you don’t need two printers.

Hardware for Kitchen:

Tablet: Another Android or iOS device for displaying orders.

Thermal Printer: You can use another Qian printer or similar, depending on your needs.

2. Hardware Configuration

Ground Floor

Connecting the Printer:

Power Connection: Connect the printer to a power outlet and turn it on.

Bluetooth Pairing:

On the tablet, go to Settings > Bluetooth.

Make sure Bluetooth is enabled. You should see a list of available devices.

Turn on the printer and wait for it to appear in the list. If it doesn't show up, press the power button for a few seconds to enter pairing mode.

Tap the printer name in the list to pair it. If prompted, enter the PIN code (usually 1234 or 0000).

Connecting the Cash Drawer:

Connect the cash drawer to the RJ11 port on the printer. You should hear a click when it’s securely connected.

Position the cash drawer so that it is easily accessible for payment operations.

Setting Up the Loyverse App:

Download the Loyverse App:

Open the Google Play Store (Android) or the Apple App Store (iOS).

Search for “Loyverse POS” and install the app.

Registration or Login:

If this is your first time using Loyverse, tap “Register” and follow the instructions to create an account.

If you already have an account, tap “Login” and enter your credentials.

Menu Configuration:

Access the app and go to Settings (this may be a gear icon).

Select Menu and then Add Product.

Enter the product name, price, and you can also add a description.

Repeat this process for all your products.

Make sure to categorize the products (e.g., Appetizers, Pizzas, Drinks, etc.) for easier navigation.

Testing the System:

Perform a test order:

Go to Sell in the app.

Select a product from the menu and tap Add.

Proceed to payment (you can simulate a cash payment).

Check if the printer correctly prints the receipt and if the cash drawer opens.

Pizzeria Floor

Connecting the Waitstaff Tablet:

Download and Install: Repeat the download and installation process for the Loyverse POS app on the waitstaff's tablet.

Registration or Login: Log in with the same account or create a new account specific to the waitstaff.

Menu Configuration:

Ensure that the menu is the same as the one on the ground floor tablet. You can also add products specific to the pizzeria if needed.

Follow the same procedure described above to add products.

Connecting the Kitchen Printer (if necessary):

Repeat the Bluetooth pairing process for the kitchen printer if you are using a separate printer.

Make sure to follow the same connection and testing process.

Testing the System:

Perform a test order from the waitstaff tablet to ensure that the order is correctly sent to the kitchen printer.

Check that the kitchen printer prints the order.

In the Kitchen

Connecting the Kitchen Tablet:

Install the Loyverse app on the kitchen tablet.

Log in with the same credentials.

Checking Order Printing:

Conduct a test by sending an order from the waitstaff tablet and check that it prints correctly in the kitchen.

3. Staff Training

Training on Tablets:

Teach staff how to use the Loyverse app to take orders and process payments. Pay attention to:

How to navigate the menu

How to add items to the order

How to complete the transaction and open the cash drawer

Payment Procedures:

Explain how to manage the cash drawer and how to use the printer for receipts.

Ensure they know how to troubleshoot basic issues, such as reprinting a receipt if necessary.

4. Monitoring and Optimization

Sales Monitoring:

After the setup, monitor sales and system performance. Loyverse offers useful reports to view daily sales, product performance, etc.

Support:

Keep the Loyverse customer support handy (you can find it in the app or on their website) for any technical issues or questions.

5. Maintenance

Printer Cleaning:

Regularly clean the print head and roller of the thermal printer to ensure clear printing.

Updates:

Periodically check for updates for the Loyverse app and printer firmware to ensure the system runs smoothly.

Conclusion

By following these detailed steps, you should be able to successfully set up and use your Loyverse cash register system, even without prior experience. If you have further questions or need assistance on a specific step, feel free to ask!
